Refund Policy
Refund Policy
Effective from: 20th June 2025
At Kincardine Kin, we take pride in offering carefully researched and personalised Scottish family history services. Because each project is unique and often involves in-depth investigation and non-refundable costs, it’s important to understand our refund policy before commissioning any work.
1. Full Payment Required Before Research Begins
To ensure fairness and efficient scheduling, no genealogical research will begin until full payment has been received. This allows us to allocate the necessary time and resources to each project.
Requests for research that are not paid in full will not be processed or added to the research queue. We appreciate your understanding and cooperation.
2. No Refunds Once Research Has Commenced
Please note that no refunds can be issued once research has commenced. This includes:
-
Preliminary record searches
-
Archive enquiries
-
Document review or report preparation
If you have questions about the process, we encourage you to contact us before making a booking.
3. Refunds Prior to Research
Refunds may be available only if requested before any research work begins.
A full or partial refund may be issued depending on the extent of any preparatory work already carried out.
4. Refunds Due to Administrative Errors
You are entitled to a full refund in the event of:
-
A duplicate payment made in error
-
Circumstances where Kincardine Kin is unable to begin your research due to issues on our side.
5. Incomplete or Limited Findings
While we strive to provide the most accurate and thorough genealogical research possible, it's important to note:
Not all family lines can be fully traced.
Historical records may be:
-
Lost or destroyed
-
Incomplete or inaccessible
-
Never created in the first place
As a result, we cannot guarantee discoveries in every case, and refunds will not be issued based on incomplete results when this is due to record limitations beyond our control.
We will always provide a detailed summary of the research carried out and sources consulted.
6. Timeframes and Project Duration
The time required to complete a project varies depending on:
-
The complexity of your family history
-
The availability of records
-
The scope of your request
Some projects may take a few weeks; others may take several months.
We are committed to quality over speed, and delays due to the thorough nature of our work do not qualify for refunds.
We will keep you informed throughout the process.
7. Requesting a Refund (Where Applicable)
If you believe you are eligible for a refund under the terms above, please contact us within 14 days of payment:
Email: kincardine.kin.research@gmail.com
Approved refunds will be processed to your original method of payment within 10 working days.
